How to Use UTM Parameters to Track Marketing Campaigns

UTM parameters campaign tracking guide by Vast Scale Media

UTM parameters are labels added to a destination URL so analytics and CRM systems can identify where a visitor came from. They are useful for paid ads, email, SMS, social posts, influencer links, QR codes, partnerships, and offline promotions.

UTMs do not create tracking by themselves. The destination site still needs analytics and conversion measurement. Their value comes from consistent naming and preservation throughout the lead or purchase journey.

The five common UTM parameters

utm_source

Identifies the platform, publisher, or partner sending traffic. Examples include google, facebook, instagram, newsletter, or a partner name.

utm_medium

Identifies the marketing channel or method. Examples include cpc, paid_social, email, sms, organic_social, or referral.

utm_campaign

Identifies the promotion or strategic campaign. Examples include summer_offer_2026, lash_artist_leads, or brand_awareness_q3.

utm_content

Distinguishes creative, placement, call to action, or link variation. Examples include testimonial_video_1, hero_button, or carousel_before_after.

utm_term

Traditionally identifies paid-search keywords. It can also hold another planned detail when the organization documents its use consistently.

Use a URL builder or controlled spreadsheet to reduce spelling and formatting mistakes.

Create a naming convention before launching

Decide:

  • Lowercase or uppercase
  • Underscores, hyphens, or another separator
  • Approved source names
  • Approved medium names
  • Campaign date or market format
  • How creative names are recorded
  • Who creates and audits links

UTM values are case-sensitive in many reporting contexts. Facebook, facebook, and FB can appear as separate sources.

Do not use UTMs on internal links

Adding UTMs to links between pages on the same website can overwrite the visitor’s original acquisition information and create false sessions or campaign attribution. Use events or other analytics methods to measure internal navigation.

Preserve UTMs through forms and CRM systems

A lead form should capture first-touch and latest-touch campaign fields when appropriate. Store them with the contact record so the business can connect the ad or email to qualification, appointment, sale, and revenue.

When a scheduling tool or third-party form is used, confirm that the parameters are not lost during redirects or cross-domain navigation.

Use platform auto-tagging correctly

Google Ads commonly uses auto-tagging for detailed integration with GA4 and Google Ads. Manual UTMs can still support other reporting systems, but inconsistent manual tagging should not interfere with platform identifiers.

Meta advertisers can use dynamic URL parameters to populate campaign, ad set, ad, and placement information, depending on the desired reporting structure.

Common UTM mistakes

  • Changing naming conventions every campaign
  • Using vague values such as test or new
  • Putting customer personal information in the URL
  • Tagging internal links
  • Using spaces and inconsistent punctuation
  • Failing to test redirects
  • Not storing parameters in the CRM
  • Reporting only sessions without conversions or revenue

Build a campaign tracking sheet

Maintain a central record with destination URL, source, medium, campaign, content, owner, launch date, and notes. This becomes especially important when several employees, agencies, influencers, and platforms publish links.

Frequently asked questions

Do UTMs affect SEO?

UTM-tagged campaign URLs generally do not improve rankings. Keep canonical URLs and internal links clean, and avoid creating indexable duplicate versions unnecessarily.

Should every social post use UTMs?

Use them when identifying the campaign or placement will improve a decision. A consistent system is more valuable than tagging without a reporting plan.

Can UTMs track offline marketing?

Yes. Place a tagged URL behind a QR code or memorable redirect, then connect resulting visits and conversions to the offline campaign.
